Bookkeeping and Tax for Phoenix Medical Practices
Bookkeeping, payroll, and tax for Phoenix med spas, direct care clinics, and independent medical practices. Remote service from a firm doing this work since 1995.
Bookkeeping for Phoenix Practices
Phoenix has become one of the busiest places in the country to open a medical practice. New med spas, direct primary care clinics, and hormone and weight-loss practices open across the Valley every year, and many of them are run by clinicians who have never owned a business before. We handle the books, payroll, and taxes for those practices so the owner can stay focused on patients.
Baker’s Bookkeeping & Tax Services has been doing tax and bookkeeping work since 1995. Our office is in Lenexa, Kansas, and our remote division works with practice owners in nearly every state, Phoenix included. If you are still in the planning stage, our new practice setup gets your entity, books, payroll, and software in place before your first patient walks in.
Monthly Books You Can Read
Monthly Books You Can Read
Every account reconciled and the books closed each month in QuickBooks Online, with a one-page summary of how the practice did. If you bill insurance, we compare what your billing system says was collected against what actually reached the bank. If you are behind, we catch you up first.
Payroll and Hiring
Payroll and Hiring
Payroll runs through Gusto for front desk staff, nurses, aestheticians, and providers. Phoenix practices compete hard for good injectors and medical assistants. Marcella spent seven years in recruiting and HR, and our hiring support covers job descriptions, pay benchmarks, offer letters, and an employee handbook.
Taxes Handled by Enrolled Agents
Taxes Handled by Enrolled Agents
Our tax services for physicians and practice owners cover business and personal returns, quarterly estimates, and any IRS or Arizona Department of Revenue notices. Enrolled agents are federally licensed to represent you before the IRS, so you don’t have to answer those letters yourself.
Planning for Next Year
Planning for Next Year
Practice owners tend to be high earners, and a few decisions change the tax bill a lot. Business structure, how much salary you pay yourself, retirement contributions, and when to buy that new laser. We work through those with you every year, before the year is over.
Phoenix Practices We Work With
Phoenix ranks among the top six med spa markets in the country, and the metro keeps adding people every year. That growth has pulled in physicians and nurse practitioners from other states and given a lot of local doctors the push to leave employed jobs and open something of their own. Med spas along Camelback Road and in Arcadia, direct primary care clinics in North Phoenix and Ahwatukee, and hormone and weight-loss clinics in shopping centers across the Valley.
Cash-pay practices come with their own bookkeeping problems. Memberships and prepaid packages bring in money before the work is done. Retail products carry Arizona transaction privilege tax. Product costs and commissions eat into margins without anyone noticing. Our CIO, Marc Eastin, is a practicing neurosurgeon who also owns a business, so we understand what it is like to sit on the clinician side of these questions.
Med Spas and Aesthetic Clinics
Med Spas and Aesthetic Clinics
Injectables, lasers, body contouring, and skincare retail. Our med spa bookkeeping shows profit per treatment after product cost and provider commissions. Prepaid packages are tracked as services you still owe, so your revenue isn’t inflated by money you haven’t earned yet.
Direct Primary Care and Concierge
Direct Primary Care and Concierge
Many of these Phoenix practices were started by physicians who recently left a hospital system. Revenue comes in as monthly memberships, which steadies cash flow but can be easy to misread. We keep membership revenue clear month to month and plan the owner’s taxes from the first year.
Hormone and Weight-Loss Clinics
Hormone and Weight-Loss Clinics
Phoenix has a lot of them, and they grow quickly. Program fees paid up front, supplements on the shelf, and medication costs that change from month to month. We record program revenue as it is earned, file sales tax on retail items, and show you what each program actually makes.
Independent Physician Practices
Independent Physician Practices
Primary care, dermatology, pain management, and surgical groups that still own their practice. We check insurance collections against bank deposits, calculate provider pay from your existing agreements, and keep separate books if a related entity owns your building.
Common Questions About This Area
Do you have an office in Phoenix?
No. Our office is in Lenexa, Kansas, and our remote division works with practices nationwide. Everything runs through a secure portal, QuickBooks Online, Gusto, and video calls. Arizona doesn't change its clocks, so we're one hour ahead of you in winter and two hours ahead in summer. We schedule around that.
Can you help with med spa packages and memberships?
Yes. A prepaid package is money for treatments you haven't given yet. We track it that way so your monthly numbers aren't overstated, and we show you the profit on each treatment after product cost and commissions.
I'm leaving my hospital job to open a practice. When should I reach out?
Before you open, ideally a few months ahead. We help with business structure, set up the books and payroll, and get your software running so you aren't sorting it out after patients are already booked. Setup runs $500 to $5,000 one time depending on how much is involved.
Do you file Arizona sales tax on retail products?
Yes. Arizona calls it transaction privilege tax, and cities like Phoenix add their own rate on top of the state rate. We file on skincare, supplements, and other retail items on time, including in other states if you ship products to patients there.
What does monthly bookkeeping cost?
Monthly bookkeeping runs $500 to $1,500 depending on volume and complexity. If your books are behind when we start, catch-up work is billed at 75% of the monthly fee for each month behind. We quote a flat rate after we look at your books.
