Bookkeeping and Tax for Tampa Med Spas and Medical Practices

Bookkeeping, payroll, and tax for Tampa med spas, aesthetic clinics, and independent practices. Handled remotely by a firm doing this work since 1995.

Bookkeeping and Tax for Tampa Practices

Baker’s Bookkeeping & Tax Services has kept books and prepared tax returns since 1995, starting in Lenexa, Kansas. Our remote services division now works with practice owners across the country, including a growing number in Tampa. Med spa owners, nurses and injectors who opened their own clinics, and physicians who left hospital employment to run a practice of their own.

Everything runs through QuickBooks Online and Gusto, so the distance between our office and the Gulf Coast doesn’t get in the way. You work with the same small team of enrolled agents each month, people who learn how your practice brings in money and where it goes. Independent healthcare is all we focus on, so we already know the questions a med spa or direct care practice tends to have.

Monthly Bookkeeping

Books closed every month with a one-page summary you can read in a few minutes. If you bill insurance, we compare what your billing system says was collected against what actually reached the bank. If your books are behind, we bring them current first.

Payroll in Florida

Florida has no state income tax to withhold, which keeps paychecks simpler. Reemployment tax still has to be filed every quarter. We run payroll through Gusto for front desk staff, nurses, injectors, and providers, including anyone who lives or works in another state.

Federal Tax Planning

With no state income tax, nearly all of a Tampa practice owner’s tax bill is federal. That is where planning makes the biggest difference. We look at business structure, owner salary, retirement contributions, and the timing of large purchases like a new laser. Returns and any IRS notices are handled by enrolled agents.

Profit Per Treatment

Revenue can look strong while certain services quietly lose money. We calculate profit per treatment after product cost and injector commissions. Prepaid packages and memberships are tracked as services you still owe clients, so your income isn’t overstated.

Tampa Practices We Work With

Tampa is one of the ten largest med spa markets in the country. Aesthetic clinics are spread across South Tampa, Hyde Park, Westshore, and up into New Tampa, and new ones open every year. Most are cash-pay businesses run by nurses, injectors, and entrepreneurs who are very good at the clinical work and never had a reason to learn the finance side.

The city’s medical community reaches well beyond aesthetics. Tampa General, BayCare, AdventHealth, and Moffitt employ thousands of physicians, and some of them eventually leave to open practices of their own. Direct primary care, concierge medicine, hormone and weight-loss clinics, and small specialty groups have all grown here. Our healthcare bookkeeping services are built around owners like these.

Med Spas and Aesthetic Clinics

Injectables, laser treatments, body contouring, and retail skincare. Our med spa bookkeeping records packages and memberships correctly, files Florida sales tax and the county surtax on product sales, and shows which services actually earn their time in the treatment room.

Direct Care and Concierge Practices

Physicians leaving employment to run membership-based practices, often for the first time. We set up the business structure, books, and payroll before you open. After that, the monthly numbers show how many members it takes to cover your costs and pay you.

Independent Physician Practices

Primary care, dermatology, pain management, and surgical groups with one to ten providers. We check insurance collections against deposits and calculate provider pay from your existing agreements. Our CIO is a practicing neurosurgeon, so we understand the doctor’s side of running a practice.

Behavioral Health and Therapy Groups

Counseling groups, psychology practices, physical therapy, and chiropractic offices. Clinicians paid per session need to be paid correctly every pay run. Marcella Nichols, our president, holds a master’s in clinical psychology and knows how these practices are structured.

Common Questions About This Area

Your office is in Kansas. Can you really work with a Tampa practice?

Yes. Our remote services division was built for practice owners outside the Kansas City area. We have clients in nearly every state, and the work runs through QuickBooks Online, Gusto, video calls, and email. The same enrolled agents work on your account from month to month.

Florida has no state income tax. Does my practice still owe anything to the state?

In most cases, yes. You won't pay Florida tax on your personal income. But C corporations owe Florida corporate income tax, retail product sales are subject to state sales tax plus the county surtax, and employers file reemployment tax every quarter. We keep track of all of it.

I moved to Tampa from another state. Will I still have a state return?

Often, yes, for the year you moved. Most states expect a part-year resident return covering the months you lived there. We prepare it along with your federal return and make sure your old state only taxes the income it is entitled to.

What does monthly bookkeeping cost?

Monthly bookkeeping runs $500 to $1,500 per month depending on the size and complexity of the practice. If your books are behind when we start, catch-up work is billed at 75% of the monthly fee for each month we bring current.

Can you help before my practice opens?

Yes. New practice setup covers business structure, books, payroll, and software before you see your first patient. It is a common starting point for physicians opening direct care or concierge practices and for new med spa owners. Pricing runs $500 to $5,000 one time depending on scope.
