Bill Pay

Vendor, rent, supply, and malpractice invoices paid on schedule. You approve each payment from your phone and we handle the rest.

What This Is

Most practice owners pay bills the same way. Invoices pile up during the week, and after the last patient leaves they sit down at the kitchen table to sort through them. This service takes that job off your plate. Your vendor, rent, supply, and malpractice invoices come to us, and we make sure they get paid on schedule.

You still decide what leaves the practice. Each bill shows up on your phone for approval before it goes out. You look it over, approve it, and get back to your day. Nothing gets paid without your sign-off.

What Gets Paid

Medical and office supply orders. Rent or building payments. Malpractice premiums. Equipment leases, lab fees, software subscriptions, and utilities. If an invoice is addressed to the practice and has a due date, it can go through this process.

How It Works

Invoices come to us directly from your vendors, or you forward them. We enter each one, look for duplicates or amounts that seem off, and schedule payment ahead of the due date. You approve from your phone. The payment goes out and gets recorded in QuickBooks Online.

Why This Matters

Running a practice already fills the day. Patients, staff, charting, and insurance questions leave little room for invoices, so bills get pushed to evenings and weekends. That works until a busy month comes along and something slips.

A missed due date in a medical practice can cost more than a late fee. A supply vendor may put your account on hold right when you need gloves or injectables. A late malpractice premium can put your coverage at risk. A late rent payment strains your relationship with a landlord you will be working with for years.

The Evening Problem

Paying bills yourself adds up to a few hours a week once you count logging into vendor portals, tracking down the right invoice, and noting what was paid. That time comes out of your evenings after a full clinic day, and it never really ends.

The Paper Trail Problem

When bills get paid from different cards and accounts with no consistent record, the books suffer. Expenses land in the wrong category or never get recorded. Duplicate payments go unnoticed. At tax time someone has to piece together what happened.

What Changes

Your evenings are yours again. Bills arrive, get entered, and wait on your phone for a quick approval. You no longer have to keep due dates in your head, because someone else is keeping track of them for you.

When we also keep your books, every payment is recorded the day it goes out. Your monthly numbers reflect what you actually spent, and you can see what is coming due before it leaves the bank account. There are no surprises at the end of the month.

No Missed Due Dates

Payments are scheduled ahead of each due date, not on it. Late fees, account holds, and uncomfortable calls from vendors go away. If something on an invoice looks wrong, we ask you about it before any money goes out.

Approval in Seconds

You see who is being paid, how much, and what it is for. You can approve between patients or at the end of the day. You keep full control over spending without giving up your nights to it.
