Bookkeeping and Tax for Atlanta Med Spas and Medical Practices
Bookkeeping, payroll, and tax for Atlanta med spas, aesthetic clinics, and independent medical practices. Remote service from a family firm in practice since 1995.
Bookkeeping for Atlanta Med Spas and Practices
Atlanta is one of the ten largest med spa markets in the country, and new ones keep opening. There are injectors in Buckhead, laser clinics in Alpharetta, and aesthetic studios in Midtown and on the Westside. Most are run by nurses, physicians, and entrepreneurs who are very good at the treatment side and never had a reason to learn the finance side. Our work with medical spas and aesthetic clinics starts there. We show you which treatments make money, what the packages on your books really represent, and how much tax is coming.
Baker’s Bookkeeping & Tax Services has kept books and prepared tax returns since 1995 in Lenexa, Kansas. Our remote division works with practice owners across the country, including a growing number in Atlanta. Books are kept in QuickBooks Online and payroll runs through Gusto. Tax returns and any IRS or Georgia Department of Revenue notices are handled by enrolled agents who take the time to learn your practice.
Monthly Bookkeeping
Monthly Bookkeeping
Books closed every month with a one-page summary of how the practice did. If you’re behind, we bring everything current first. For practices that bill insurance, we compare what the billing system says was collected against what actually reached the bank.
Treatment Profitability
Treatment Profitability
Botox, filler, laser, and body contouring carry very different margins once product cost and injector commissions come out. Treatment profitability reporting shows what each service actually earns. Prepaid packages and memberships are tracked as services you still owe so revenue isn’t overstated.
Payroll
Payroll
Front desk staff, aestheticians, nurse injectors, and providers paid correctly and on time. Georgia withholding, tax deposits, and year-end forms are included. If a provider or remote employee lives in another state, we handle that too.
Tax Returns and Planning
Tax Returns and Planning
Returns for the practice and its owner, plus quarterly estimates. Each year we build a plan around business structure, owner pay, retirement contributions, and the timing of big purchases like a new laser. Most of the savings come from planning ahead, not from filing.
Atlanta Practices We Work With
Healthcare has grown along with the rest of the Atlanta metro. Physicians are leaving the large health systems to open their own offices. Functional medicine, hormone and weight-loss clinics, and IV lounges are opening inside the Perimeter and across the northern suburbs. Independent specialists still cluster near the hospitals in Sandy Springs, Midtown, and Decatur. Many of these owners are running a business for the first time.
We provide healthcare bookkeeping services to independent practices, not hospitals or large groups. Most of our Atlanta clients have one to ten providers, or a single med spa location with a small team. They need someone paying close attention to the books but don’t need an accounting department on staff.
Med Spas and Aesthetic Clinics
Med Spas and Aesthetic Clinics
Med spas, cosmetic dermatology, plastic surgery, laser, and hair restoration clinics from Buckhead to Alpharetta. We keep separate books for a management company and a medical entity when the practice is set up that way. Sales tax on retail skincare is filed at the correct local rate.
Direct Care and Integrative Medicine
Direct Care and Integrative Medicine
Direct primary care, concierge practices, functional medicine, and hormone, weight-loss, and IV clinics. Membership revenue is recorded properly and supplement sales are taxed correctly. For new practices, we set up structure, books, and payroll before the doors open.
Independent Physician Practices
Independent Physician Practices
Primary care, pediatrics, OB/GYN, dermatology, and surgical specialties operating outside the big Atlanta health systems. We calculate provider pay each month from the compensation agreements you already have. Books for the practice and the building it owns stay separate.
Behavioral Health Groups
Behavioral Health Groups
Therapy and counseling groups, psychology, and psychiatry practices in Decatur, Midtown, and across the metro. Marcella Nichols, our president, holds a master’s in clinical psychology. We calculate session-based clinician pay from your agreements every pay run so clinicians are paid correctly.
Common Questions About This Area
Do you have an office in Atlanta?
No. Our office is in Lenexa, Kansas, and our remote division works with clients in nearly every state. Documents come through a secure portal and bank feeds connect directly. You can reach the person who keeps your books by phone, email, or video call.
Do you file Georgia sales tax on skincare and supplements?
Yes. Retail products sold alongside treatments are generally taxable in Georgia. The local rate depends on whether you're in Fulton, DeKalb, Cobb, Gwinnett, or another county. We track what you owe and file on time. Sales tax filing runs $100 to $250 per month.
How do you handle prepaid packages and memberships?
Money collected for treatments a client hasn't received yet isn't fully earned. We track it as a balance you still owe until the service is delivered. That way a busy promotion month doesn't look better on paper than it really was.
Our med spa has a management company and a medical entity. Can you keep books for both?
Yes. Many med spas are set up with a management company and a physician-owned medical entity. We keep separate books for each and record the money moving between them properly. Each additional entity is $300 to $800 per month.
I'm leaving a hospital job to open my own practice in Atlanta. When should I reach out?
Before you open, if you can. Our new practice setup covers business structure, books, payroll, and software so you start clean. Our CIO is a practicing neurosurgeon who also owns a business, so we understand the move from employee to owner.
